Moving your practice

Bring your history without thousands of extra clicks.

Guided Import lets you map session notes and source completion information alongside appointment records. Preview eligible historical notes, choose a date or client, and record their previous completion in a batch. Notes remain unchanged, and explicitly unfinished records stay available for review.

Previously completed is distinct from a new clinical review. Batch actions require your confirmation and can be undone for records that have not subsequently changed. Import support depends on the source file and fields; not every application's attachments or assessment history can be transferred automatically.

No personal ChatGPT subscription or API key is needed. Review every draft for accuracy and clinical meaning. Monthly AI allowances apply: another included model may be used when the usual model allowance is reached; reaching the overall allowance pauses AI until renewal. Typing, local dictation, editing, saving and existing reflections remain available. Local-only mode prevents external AI requests.

Assessments & Outcomes

18 included assessment and outcome tools

Standardised screening and outcome measures with automated scoring, progress tracking and clinical alerts. These tools support—but do not replace—professional assessment, clinical judgement or diagnosis.

Assessments can be completed in-session on the practitioner's device or sent using an optional external assessment workflow. In-session responses remain local. When external delivery is enabled, the assessment service and email provider process the information required to deliver and complete the assessment before the result is imported into the encrypted local record. External assessment use requires therapist configuration and recorded client consent. Results are imported when the app is open and online. Declined or no-longer-needed invitations can be closed with a recorded reason without deleting their history. Optional services show a setup checklist with direct links to settings or the relevant client consent choices; completing setup does not grant consent.

ProvenTherapy is built around local-first privacy. Your client records are stored in an encrypted database on your own device — not in a cloud-first practice platform.

Clinical content remains local by default. Optional external features require the relevant settings, practitioner action and, where applicable, recorded client consent. Licence validation, update checks and other operational connections do not transmit the local clinical database.

This is not a technical afterthought. It is the central architectural decision that shapes every part of the application.

Offline use: Core clinical records and on-device dictation work offline. Internet access is required for initial downloads, occasional licence verification, updates and optional services such as email, external assessments, cloud-assisted processing and calendar synchronisation.
GDPR-supportive, not automatic compliance: ProvenTherapy includes tools designed to support GDPR responsibilities, including consent records, audit logs, data export and right-to-erasure workflows. Local encrypted storage and access controls are designed with recognised healthcare privacy principles in mind. These features do not by themselves make a practitioner or organisation legally compliant.

Client Consent Choices & Records. Send a form with individual client consent choices and a practice privacy notice. Responses are received and recorded automatically when the app is open and online, with a dashboard update. Export and erasure-support actions remain available separately.

Private, on-device Dictation

Scribe Premium and Elite include embedded Dictation with live text and optional automatic punctuation. Audio is processed on this device; dictation works offline without a cloud speech account. Choose your microphone and punctuation in Settings › General › Dictation. Press Space to pause or resume when not typing in a field; Space works normally while editing paused notes.

Backup and recovery responsibilities

ProvenTherapy stores the clinical record locally, so the practitioner is responsible for maintaining a recoverable backup. Standard Vault provides manual encrypted backup and restore. Scribe Premium and Elite add automatic daily backups and support copying encrypted backups to a configured external path.

To move or recover your practice on another computer, choose Restore your practice from a backup on the login screen. You need both a valid ProvenTherapy backup and its associated 24-word Recovery Phrase. Password reset on an existing installation is a separate action. ProvenTherapy cannot recreate a lost recovery phrase or reconstruct records without a valid backup.

  • A recovery phrase does not contain the clinical records, and a phrase alone cannot restore a practice.
  • Automatic local backup alone may not survive theft or device destruction.
  • An external-path backup copy is an encrypted backup copy, not live multi-device record synchronisation.
What ProvenTherapy does not do: ProvenTherapy does not provide a client portal and does not place the clinical database in a vendor-hosted cloud account. It is a desktop-first, primarily single-device working environment for Windows and macOS. Clinician-controlled assessment, resource, email and calendar functions may use optional external services.
